General Terms & Conditions
The following terms and conditions apply to all courses run through RedR’s offices.
All courses
Obtaining a place:
- Unless otherwise stated on the course page, course bookings operate on a first come, first served basis. An acknowledgement email will be sent to you after we receive your application. All official correspondence concerning a course booking should be made in writing and sent by email, in order to ensure a clear record of the booking status.
Attendance and certification:
- We appreciate that circumstances can change, but please notify us if you cannot attend the course more than 72 hours before the start of the course, so that we can offer your slot to another participant.
- Upon course completion, participants are eligible for an HPass Badge, which is a digital indicator of their skills. Our courses require a minimum level of attendance and active participation to obtain a certificate or HPass badge, which depends on the type and duration of the course. Generally, participants should attend ~70% of sessions and commit to necessary self-study.
- A PDF certificate of attendance can be issued upon request.
Change of the course dates or cancellation by RedR:
- In the event that RedR has to change the course date or cancel the course due to undersubscription or other circumstances, you will be notified at least two weeks before the course is due to take place.
- Nevertheless, there may be specific circumstances beyond our control (this may include but is not limited to, changes in the humanitarian context, insecurity, hazards, or natural disasters) which force us to change the dates of a course or cancel last-minute.
Course Inclusions and Exclusions:
- Face-to-Face Courses: For most in-person courses, the fee includes arrival refreshments, lunch, and refreshment breaks. A hard copy workbook is also provided. It is important to note that courses are non-residential, with the exception of the PSH/HEAT course which includes full board. Travel and accommodation costs are the participant’s responsibility. RedR is unable to assist with booking travel or accommodation.
- Online Courses: The live, facilitated sessions for online courses are recorded for quality assurance reasons, but cannot be shared with participants unless requested in advanced and approved by the course coordinator.
- Course Materials: While a workbook, handouts and key messages are provided, PowerPoint slides are not made available to participants.
Accessibility:
- RedR UK is committed to making reasonable adjustments to support attendees with specific access or learning needs. Participants should email training@redr.org.uk to discuss their requirements.
- Standard workbooks are printed on white paper in Arial size 12 font. However, workbooks can be printed on different colored paper and in various font sizes upon request.
Data Protection and Your Privacy
RedR UK is committed to protecting your privacy and handling your personal data in a secure and transparent manner, in accordance with the Data Protection Act 2018 (DPA2018) and the General Data Protection Regulation (GDPR).
By registering to a RedR training, you acknowledge and consent to the following:
- Data Collection: As an individual applying for or attending a RedR UK training course or event, we will need to collect and use certain personal information from you. We are committed to the principle of data minimisation and will only collect information that is necessary for the purposes of your application, training, and related administrative functions.
- Purpose of Use: Your personal data will be collected for clear and valid purposes related to your training. It will not be used in any way that is incompatible with these purposes.
- Data Principles: We adhere to core data protection principles, meaning your information will be:
- Used lawfully, fairly, and transparently.
- Kept accurate and up to date.
- Stored securely and confidentially.
- Retained only for as long as is necessary for the purposes for which it was collected.
- Data Sharing: In some circumstances, it may be necessary to share your personal data with third parties (e.g., certification bodies, training venue administration). This will only be done when essential for fulfilling the purposes of your training, under strict confidentiality agreements, and in full compliance with GDPR.
In line with our commitment to protecting your data, we have a clear policy for how long we keep your information and how we dispose of it.
- Retention Period: We will retain your personal data only for as long as is necessary to fulfil the purposes for which it was collected. This includes providing you with our training services, maintaining our relationship with you, assessing the training impact post-event and complying with any legal, regulatory, or accounting requirements.
- End of Use Disposal: Once your personal data is no longer required for these purposes, it will be securely and permanently destroyed in accordance with GDPR requirements and our internal procedures.
- Secure Destruction: We use secure disposal methods for all formats of data to ensure it cannot be accessed, reconstructed, or recovered.
- Data Backups: We maintain regular and secure backups of data to protect it from loss or system failure. These backups are also subject to the same retention and secure disposal rules outlined in this policy.
Complaints:
- In case of any complaint regarding the service provided by RedR, please contact us at
complaints@redr.org.uk. We will respond within one working day (Monday – Friday).
Visa considerations for face-to-face courses:
Individuals requiring a visa to the UK:
- It’s the individual’s responsibility to ensure obtaining a visa before the start date. Cancellations due to visa refusals will be treated following the below cancellation guidelines.
- No training bookings requiring a visa will be accepted for courses of less than 3 days in duration. If you have already booked and paid, we will cancel your place, and refund you 100% of your course fee.
- Only upon receipt of a completed booking form and full payment of course fees will a letter of confirmation be provided. This letter is a standard format and will be emailed to the applicant only. RedR cannot send letters to embassies, high commissions or consulates.
- Applicants should ensure that they are able to meet the conditions for entry into the UK before applying for a course. Information on entry to the UK can be found here.
- RedR cannot offer advice on specific cases or visa requirements.
Individuals requiring a visa to Jordan:
- RedR recommends that individuals requiring a visa do not book courses less than 8 weeks before the start date.
- Cancellations due to visa refusals will be treated according to the cancellation guidelines above.
- For visa purposes, a letter of confirmation and invitation will be provided upon request but only upon receipt of a completed booking form and full payment of course fees. The letter will be emailed to the applicant only. RedR cannot send letters to embassies, high commissions, or consulates.
- Applicants should ensure that they are able to meet the conditions for entry into the country of the training location before applying for a course.
- RedR cannot offer advice on specific cases or visa requirements.
Payment conditions and cancellations for paid courses:
Payment methods and restrictions (general):
- Bank Cards & Paypal: immediate payment once you register for a fee-based training on EventBrite.
- For those paying by invoice, once your booking is completed, please email training@redr.org.uk to request the invoice. We will then ask you to complete an invoice requisition form.
- The invoice requisition form must be returned to RedR within two weeks of the acknowledgement email being sent. Course fees must be received no later than two weeks before the course. In case of special circumstances, please contact the training team as soon as possible, and before the two weeks is up, on training@redr.org.uk.
Cancelling your booking:
- For bookings cancelled ten or more working days* before a course, applicants will be entitled to a refund of 75% of the course fees paid, or if places are available will be offered a transfer of 90% of the course fees paid onto the next course.
- For bookings cancelled one to nine working days* before a course begins, 25% of the course fee will be refunded.
- For bookings cancelled less than 24 hours before a course, or after a course has started, no refund or transfer of value will be provided.
- If the applicant chooses to transfer to another course and then cancels their booking a second time, neither a further transfer of value nor a refund will be offered.
- RedR is not liable for covering the cost of bank fees or exchange rate losses in either the payment or refund of a course fee.
Refunds may take up to 30 days. *During normal UK working days, Monday-Friday and working hours 9am-5pm)
Non-attendance:
- No refund will be made for non-attendance on a course. Non-attendance includes: failure to cancel your place; cancelling your place after the close of normal office hours on the last working day before the course; failure to attend the course; and, informing us of cancellation after the start of the course.
Changing your booking:
- If you are no longer able to attend a booked course and you choose to transfer the value to an alternative course, a 50 GBP administrative charge will be applied to this transfer.
Change of the course dates or cancellation by RedR:
- In the event that RedR has to change the course date or cancel the course due to undersubscription or other circumstances, you will be notified at least two weeks before the course is due to take place.
- Nevertheless, there may be specific circumstances beyond our control (this may include but is not limited to, changes in the humanitarian context, insecurity, hazards, or natural disasters) which force us to change the dates of a course or cancel last-minute.
- If the course dates are changed, you may request a full refund of the course fees if the new dates are not convenient.
- If a course is cancelled you will receive a full refund of all course fees paid.
- We are unable to reimburse any other costs that may have been incurred, including flights, accommodation etc.
